Meeting Services

All services are held at the Rafain Convention Center and Hotel. Continue to check back for updates on the services provided during the Meeting.

Registration

Level 1 (outside of Rafain Expocenter II–III Exhibit Hall)
Sunday: 1500h–1900h
Monday: 0700h–1830h
Tuesday–Thursday: 0730h–1830h

Staff will be on hand to process lost registrations, supply certificates of attendance, print guest badges, and answer any questions related to the registration process. All attendees must register and wear their conference badge while attending all Meeting of the Americas-related function.

Business Center

Level 1, near Rafain Hotel Lobby
Sunday–Friday: 24 hours

The Business Center offers internet services. All other services may be ordered at the front desk of the Rafain Hotel.

Child Care

To receive details about how to reserve child care during the meeting, please contact the front desk staff at the hotel in which you are staying during the meeting week.

Email stations and wireless internet will be available in the convention center. E-mail stations on level 1. Wireless access will be available in the common areas of the convention center. The name of the network provider is JA10 and the passcode is JA10.

Emergency Contact

We recommend that you create emergency contact information in your cell phone listed as ICE (In Case of Emergency) for use by health care providers or other emergency personnel if necessary.

Staff will be available to assist you with your poster location and other on-site needs. Basic materials will be available for your use. If you have special needs for your poster presentation, we suggest you bring those supplies with you to the meeting.

First Aid/Medical Center

Tuesday–Thursday: 0730h–1830h

Basic medical assistance will be available for attendees during session hours. Call ext. 431 from any house phone in the Rafain Hotel or contact staff in the registration area.

Guests

Guests or spouses not attending the scientific sessions may register at the meeting at no charge. A guest is a spouse, friend, or adult child (18 years old and older) who is not working in a geophysical science related occupation or field. A colleague or associate working in a related geophysical sciences field or studying geophysics in school may not register as a guest. Registered guests may only go to the exhibits and attend and purchase tickets to social events at the advertised rates.

Lost and Found items will be located at Registration during session hours.

Press Room

Level 1, Parana IV
Monday–Wednesday: 0730h–1830h
Thursday: 0730h–1230h

Staff will hold press conferences; press releases and copies of journal articles about research being presented at the meeting are made available to reporters in the press room.

Speaker Ready Room

ALL speakers are required to check into the Speaker Ready Room at least 24 hours before their presentation. Those presenting on Monday, 9 August, must check in on Sunday in Room Parana VI.

Special Needs

If you have special needs, staff will work with the meeting vendors to provide reasonable support. Contact ja-help@agu.org for special assistance. During the meeting, contact staff at registration services on the first level for assistance.

Transportation

Roundtrip complimentary transportation will be provided for attendees staying at the 13 hotels within the housing block. Details will be posted on the Travel page as information becomes available.
