2. General Information/Invitation to Exhibit
The American Geophysical Union (AGU) and other Sponsors invite you to join companies, publishers, government agencies, educational institutions, research facilities, and scientific societies who will be exhibiting the latest in geophysical instruments, equipment, software, books and journals, and scientific programs at the 2002 Western Pacific Geophysics Meeting, in Wellington, New Zealand. The Western Pacific Geophysics Meeting continues its tradition of bringing together researchers, teachers, contractors, authors, consultants, and students to review the latest issues and studies of the Earth, the planets, and their environment in space. It is expected that more than 800 geoscientists will attend this year's meeting.
The meeting will bring together a broad range of interdisciplinary topics for discussion. Scientific sessions will include, but are not limited to: atmospheric sciences, hydrology, ocean sciences, seismology, space physics and planetary sciences, tectonophysics, and volcanology, geochemistry, and petrology.

3. Exhibit Dates, Hours, and Location
EXHIBITS SCHEDULE:
The 2002 Western Pacific Geophysics Meeting will be held 9 - 12 July at the Wellington Convention Centre, in Wellington, New Zealand. Exhibits will be open 10 July through 12 July (Wednesday, Thursday, and Friday). All exhibit stands are to remain open and staffed during scheduled exhibition hours.
EXHIBITS SCHEDULE:
Installation Tuesday 9 July 11:00 a.m. - 4:00 p.m.
Exhibit Days Wednesday 10 July 8:30 a.m. - 4:30 p.m.
and Hours Thursday 11 July 8:30 a.m. - 4:30 p.m.
Friday 12 July 8:30 a.m. - 4:30 p.m.
Dismantling Friday 12 July 4:30 p.m. - 8:00 p.m.

4. Exhibitor Eligibility
Exhibits must be related to the scientific interests of the sponsor's membership. AGU and Sponsors reserve the right to determine the eligibility of any company applying for exhibit space at this meeting. Lease of an exhibit space to an exhibitor does not constitute endorsement of the exhibitor's products or services by the sponsors. No advertising material used by the exhibitor may contain the sponsor's logo or meeting logo (unless given written permission from AGU and Sponsors), nor may it bear any reference to a real or implied endorsement by the sponsors.
Who should exhibit: People working in academic institutes, government agencies, consulting firms, and the commercial sector (teachers, contractors, authors, consultants, and students) who will review the latest issues and studies representing the Earth, atmospheric, oceanic, hydrologic, space, and planetary sciences and interact with meeting attendees to gather ideas and geophysical research needs in their related scientific disciplines.

5. Exhibitor Registration and Housing
Exhibitor Registration
Each commercial exhibitor will receive two complimentary registrations per booth; nonprofit exhibitors will receive one complimentary registration. Exhibit Staff badges will be available for exhibitors needing more than the allotted number of complimentary badges in order to staff their booth and are each. All additional personnel wanting to attend sessions must pay full registration.
Housing
Exhibitors are responsible for making their own hotel and travel arrangements. Reservation information is available on the AGU Web site.

6. Booth Rental
Exhibits: Exhibits will feature book publishers, government agencies, educational institutions, research facilities, and scientific societies displaying the latest in geophysical instruments, equipment, software, books and journals, and scientific programs.
Each exhibit stand will be approximately 3 meters by 1.8 meters and will cost $US 150.
The exhibits will be an enhancement to the meeting. Poster sessions and coffee breaks will take place in the same area as the exhibits to ensure traffic in the exhibit hall.

• Listing (with description) in the Western Pacific Geophysics Meeting Program and on the AGU Web site
• Morning/afternoon refreshment breaks inside and outside the exhibit hall

7. Booth Design and Funishings
Each stand will consist of lacquered aluminum sections with white melanin coated panels on 3 sides and a front panel composed of a aluminum frame containing a white melanin coated panel with the exhibitor's name and stand number (not more than 20 letters, Helvetica Medium, 100 mm high), electricity supply and a rail with two spotlights. The exhibitor's booth must be arranged so as not to obstruct the general view or hide other exhibits. All laws and regulations of local, state, and federal governments pertaining to fire, public safety, and consumer safety shall be observed by each exhibitor.

8. Assignment of Booth Space
Exhibit stands will be assigned on a first-come, first-served basis, determined by the date of receipt of the contract with payment.

9. Payment, Cancellation, and Rejection Policy
Payment
Payment: Full payment must accompany the Application and Contract. Descriptions for exhibitors will not be published unless full payment has been received by the appropriate deadline.

Cancellation Policy
All cancellations must be made in writing and refund will be based on the following schedule:
On or before 9 May 2002 (100%)
9 May through 7 June 2002 (50%) of full payment.
After 7 June 2002 (NO REFUND)
Rejection Policy
The Sponsors reserve the right to refuse any applicant for exhibit space as well as the right to restrict or evict any exhibitor that, in the opinion of sponsors, detracts from the general character of the meeting. This policy applies to displays, printed matter, promotional materials, noise, personal conduct, and method of operation. In the event of such restrictions or eviction, Sponsors will not be liable for any exhibit expenses.

10. Security,Liability, and Insurance
Sponsors shall not be held responsible for the loss of any material by any cause and usage. The exhibitor will exercise normal precautions to discourage loss due to theft or any other cause. AGU and Sponsors will exercise reasonable care for the protection of the exhibitor's materials and displays. However, the exhibitor expressly releases the foregoing named from any and all claims for such loss, damage, or injury in the absence of negligence. Exhibitors desiring to carry insurance will do so at their own expense. In the event the meeting/exhibition is canceled, the liability of the sponsors shall be limited to the money paid by the exhibitor for exhibit booth rental, less a proportionate share of all expenses incurred by AGU and Sponsors for the exhibition.


12. Exhibitor Badges
Each exhibit stand comes with two complimentary meeting registrations (including technical sessions). These registrations do not include ticketed events. Additional registrations may be purchased at the regular meeting registration rates. Each person at your exhibit stand must be registered for the meeting.

How to submit your ad: Zip disk or CD is preferred for electronic submissions either in Adobe Illustrator, EPS format (embedded with fonts), Quark file with all fonts, or TIFF (Tagged Image File Format/for PC, at least 300 DPI). A laser proof or print is required with all submissions. If submitting film, line screen is 133, film should be right reading emulsion side down.

14. Sales Intent
On-site sales are permitted.

15. Decorator/Exhibitor Contract
Exhibitor service manuals will be mailed June 2002. If the exhibitor uses a contractor other than the official service contractor, the exhibitor's contractor must notify AGU and provide a certificate of insurance for liability and workmen's compensation and also agree to comply with the exhibition rules and regulations.
Additional information on the decorator/contract will be available late May 2002.
