Science Exchange Topic or Session Proposals
AGU is introducing a new pathway for contributions from scientists regardless of whether they have research to present. The Program Committee is seeking proposals for individual or panel presentations for the AGU25 meeting that highlight their experiences, ideas, or the latest challenges and technologies with the greater AGU community.
This new pathway is an alternative to the call for abstracts. Please review the guidelines and requirements below fully before beginning your submission to ensure you are submitting to the desired pathway. Science Exchange presentations and sessions are designed to support and foster community knowledge sharing. Please note, individual presenter topics will be able to participate in-person or online. Proposed panels will be required to be held in-person only.
Please submit an individual presentation or panel proposal no later than Wednesday, 30 July 2025.
Steps to Submitting a Science Exchange Topic or Session Proposal
Join or Renew Membership
To submit an abstract, first authors, including invited authors, must be a current AGU member or a member of an affiliated society/organization. If you are a member of an affiliated society/organization, you must request a membership waiver by 16 July.

Review Important Information
Decide How You Will Attend AGU25
- Individual presenters will be able to participate in-person or online.
- Proposed panels will be required to be held in-person only.
- When you submit your proposal, you will need to indicate whether you will attend in person in New Orleans, LA or participate online.
- All presenters including invited panelists for approved session proposals will need to confirm location participation by 19 November. No changes can be made after this date.

Pay Submission Fee
The proposal submission fee is a processing fee and is non-refundable.

After reviewing the full guidelines, submit your proposal here. All proposals will be rigorously reviewed, and not all proposals will be accepted.
Proposal Review
Proposals that are primarily advertisements or product demonstrations will not be considered.
Notifications of proposal acceptance or rejection will be sent in early October. If you have any questions about your abstract submission, please contact AGU's Scientific program team.
Edit Proposal
Submitted proposals may be accessed or edited as needed until submissions close on Wednesday, 30 July (23:59 EDT/03:59 UTC). Do not withdraw a paid submission to make edits.
Register
All session organizers and presenters, including invited panelists on approved sessions must register to attend AGU25 in person or online.

Payment and Refund Policies
The proposal submission fee is:
- A required and non-refundable processing fee for all topic submissions
- Refunds will not be issued for proposals that are paid, withdrawn and resubmitted.
- Do not withdraw a paid proposal submission to make edits or submit a new proposal. You are able to access and edit the draft or submitted proposal at any time until the submission deadline.
- If you submit multiple proposals to the meeting, you must pay the submission fee for each submission.
- Separate from membership dues and meeting registration fees.
- Not based on approval of your proposal submission or attendance at the meeting.
- Payable by credit card only; wire payments or purchase orders cannot be accommodated.

2025 Science Exchange Topic or Submission Fees
Student Fee - $40 USD
Low Income/Lower-Middle Income* - No Fee. If you reside in one of these countries, the abstract fee will be waived during submission.

How to Write a Science Exchange Topic or Session Proposal
Submissions are designed to support community knowledge sharing. Topics should aim to provide valuable insights that inspire future research, collaboration, and technological advancements.
Presentation topics: Accepted presentations may be linked together by similar topics. individual presenters will be able to participate in-person or online.
Panels: Proposed panels must be held in person only to ensure meaningful dialogue and engagement among panelists and attendees. Hybrid participation is not available for panels. DO NOT include invited panelists or presenters in session description and DO NOT invite panelists or presenters prior to proposal acceptance.

Letter of Invitation
After submitting a proposal, presenters can automatically generate a letter of invitation via the control panel within your submission or through the User Portal. Please note, acceptance letters will not be available until early October.
If you require a letter of invitation before submitting a proposal or you will not be submitting an abstract or proposal to AGU25, you must request one here.
AGU Authorship Policy and AI tools
Artificial Intelligence (AI) tools, such as ChatGPT, are not permitted as authors as they cannot take responsibility for submitted works, however their use should be fully transparent.

Funding Opportunities
- No-Cost Registration for Community Leaders and Indigenous Attendees
Apply for a no-cost registration and/or abstract to the AGU25 annual meeting. AGU offers free registration and abstract waivers to AGU member scientists of Indigenous cultural heritage worldwide and non-scientist community leaders. This registration applies to both in-person and virtual attendance. Deadline Wednesday, 16 July, 2025.
Eligibility & Process:
- Membership in an Indigenous community, which is recognized as a sovereign right established through self-determination and community acceptance (Anaya, 2004, cited in David-Chavez and Gavin, 2018). Indigenous scientists must be AGU members to take advantage of no-cost registration.
- OR a non-scientist representing their community’s interests in environmental, Earth, geoscience, or related fields. Community leaders who are not scientists can be Indigenous or non-Indigenous and do not need to be AGU members.
- You will receive a promo code to waive the abstract fee once your application is approved. Do not submit an abstract before receiving your code.
- The no-cost registration will be automatically applied to your AGU member account once your application is approved.
