Oral Session Chair Guidelines

To prepare for your oral session, please review all the information below.

Before the Meeting

  • Check the online program for any changes or updates to your session. If a presenter withdraws from an oral session, the session conveners can request that a presentation from the accompanying onsite eLightning or poster session be moved to replace the withdrawn oral presentation. This can only be done to and from accompanying sessions and only with the eLightning or poster presenter's explicit consent. Please send an email to the Scientific Program Team with the details of the withdrawn abstract, the details of the abstract that will be moved into the oral presentation slot and the email or message where the eLightning or poster presenter has given consent to being moved to an oral presentation.
  • Note: New abstracts CANNOT be added to fill empty slots in oral, eLightning or poster sessions.

  • Select one primary chair to introduce and moderate the entire session with co-conveners/co-chairs as back-ups (if needed).
  • Practice pronouncing all presenter names and affiliations.
  • Know that all oral, hybrid and online discussion sessions will be recorded. The recording will be available for attendees during the meeting, usually within 24 hours. Close captioning will be included.
  • Prepare some discussion points and questions in case there are not many audience questions. Consider questions that span several of the presentations, like “what’s next for this topic or to address future work.”

  • Review the FIHM Code of Conduct.
  • Meetings Guidelines on Photography and Social Media.
    • Photos are allowed for personal use in all settings, including scientific sessions, unless the presenter indicates otherwise. Presenters can do this by displaying a digital “No Photo” image on their slides or poster. This image is available for download from the presenter guidelines.
  • Ensure that all speakers are treated equally and have their fully allotted time.
    • Use any reasonable means to stop a speaker who has exceeded the allotted time. The session must stay on schedule for both the audience and other speakers, per the approved program.
  • Know that only an author listed on a paper may present. No substitutions are permitted.
  • Interrupt speakers to ask them to speak more audibly, slowly or clearly, if needed.
  • You (the chair), not the speaker, conducts the Q&A discussion.
  • Create connection between topics and tell a story across the session.
  • Call on presenters to reply or engage in a discussion.
  • If a presentation draws no questions from the audience, ask your own questions to try to stimulate discussion, if time allows. However, some papers elicit more than the usual number of comments; use your best judgement.
  • Be aware of signs of aggressive questioning which may border on bullying, especially if directed toward student or early career scientists. Please intervene in real time if you witness such behavior.
  • End the session at the scheduled time by thanking the presenters and indicating related sessions (i.e., poster, eLightning or online sessions).

Day of Your Session

To prepare for your in-person session, please review the information below.

  • Arrive at your session room 15-20 minutes early to talk with your presenters.

  • Please view the online program to view the schedule of your session and check for any changes or updates.

  • Equipment:
    Each oral session room is equipped with a Windows PC. All presentations will run from this local machine. A local monitor is provided and will mirror what the audience sees and will also indicate if a presenter is in-person or online. (Note: Presenter View is not supported).

  • Speakers will run their presentations from the computer in the room and cannot connect their laptops into computer projectors. Speakers have been instructed to load their presentation in advance in the Speaker Ready Room.

There are a limited number of sessions that will have oral presenters onsite in San Juan and will also have speakers online.

  • Chairs will chair remotely using Zoom Meeting.
  • Join 20 minutes prior to the start of the session. Further details will be shared leading up to the meeting. Online chairs will share their screens if needed.
