Poster Session Presenter Guide

This is your one stop for all the information you need to participate in a poster session.

Poster presentations will take place Tuesday, 4 April: 11:30 AM – 1:00 PM and 3:00 PM – 4:30 PM EDT.

Poster Session Presenter Guide

1. REGISTER

  • You must register in-person in order to present at OVS23. Poster sessions will not have a virtual or hybrid component.

2. CREATE AND PRINT YOUR POSTER

  • Presenters will create a printed poster to be displayed on an assigned board in the Atlantic Ballroom.
  • PRINTED POSTER REQUIRMENTS AND BEST PRACTICES ARE LISTED BELOW. 

3. CREATE YOUR SLIDE

  • Presenters will deliver a quick three-minute presentation that provides an overview of the poster. The slide should be uploaded in the Speaker Ready Room onsite in Atlanta.

4. REHEARSE

  • Organize your ideas so that you can quickly review your work with poster hall visitors.
  • Create an elevator pitch.
  • Focus on the material as submitted and accepted in your abstract.
  • Rehearse speaking slowly and clearly. If your rehearsal runs long, reduce the material and rehearse again.
  • Use simple, active words and short sentences.

5. SET UP YOUR POSTER

  • Set up your poster between 8:00 AM and 9:30 AM on Tuesday.
  • Pick up push pins inside the Atlantic Ballroom.
  • Find your assigned poster board.
  • Boards will be numbered sequentially.

6. ATTEND THE SESSION

  • You should be available in the poster hall (Atlantic Ballroom) during your poster session. Three-minute presentations will be given at the beginning of the session with time at poster boards immediately following.

7. COLLECT YOUR POSTER

  • For maximum attendee viewing, do not remove your poster until 6:00 PM.
  • Posters can be removed between 6:00 PM and 6:30 PM.
  • If you wish to keep your poster, you must remove it by 6:30 PM. Any remaining posters will be removed and recycled.

POSTER REQUIREMENTS AND BEST PRACTICES

DIMENSIONS

  • Maximum size: 2.4 meters W by 1.2 meters H (8 feet W x 4 meters H)
  • Allow for a 2.54 centimeter (1-inch) border.

FONT REQUIREMENTS

  • Paragraph/captions — 24 points (0.9 centimeters high) Minimum
  • Headers — 36 points (1.2 centimeters high) Minimum
  • Use different colors and textures/symbols for each line or bar.
  • Use a serif font (e.g., Times) for main text.
  • Use a non-serif font (e.g., Arial or Helvetica) for headers and labels.  The presentation must cover the material as cited in the abstract.

IMPORTANT DETAILS

  • Do not laminate your poster so that it can be recycled.
  • Put the title and number of your paper at the top of the poster board.
  • Highlight authors’ names and contact information
  • Make sure diagrams or charts can be read from 2 meters away.
  • Allow for a 2.54-centimeter (1-inch) border

BEST PRACTICES

  • Organize the poster so it is clear, orderly and self-explanatory.
  • Group similar ideas together.
  • Label elements as I, II, III; or 1, 2, 3; or A, B, C.
  • Avoid clutter (e.g. too much text).
  • Include key details such as background, results, and conclusion.
