General

AbSciCon will be held at the Rhode Island Convention Center in Providence.

AbSciCon 2024 will be held from 5-10 May.

AbSciCon will begin accepting ancillary meeting room requests in October. A fee will apply to all ancillaries.

Abstracts

  • The presenting author must register for and attend AbSciCon24, either during the Wednesday only-online session, or in person.
  • Session chairs and all presenters must pay a registration fee if they are attending and/or presenting at AbSciCon24.
  • Chairs listed on a proposal do not need to register for AbSciCon24 if they will not attend the meeting.

The call for abstracts will be open from 31 October 2023 to 10 January 2024 (23:59 EST/04:59 +1 UTC).

Authors are notified of the acceptance, format and schedule of their abstracts in late February 2024.

Yes. Authors will select either in-person or online as their presentation type during the abstract submission process.

  • Some oral sessions will be held in a hybrid format.
  • eLightning sessions will be held in-person only.
  • Poster sessions will be in-person only.
  • Online discussion sessions will be online only.

A first author can submit one abstract to any topic area. In addition, first authors can submit one invited abstract to any topic area and one additional abstract to sessions in the Philosophy, History, Education and Community Development topic area.

Yes. The abstract submission fee is a required and non-refundable processing fee, separate from meeting registration fees, and is not based on approval of your abstract submission or attendance at the meeting. The abstract submission fees are:

  • Regular submission — $75
  • Student submission — $45

Session Proposals

  • All Session moderators and all presenters must pay a registration fee if they are attending and/or presenting at AbSciCon24.
  • Chairs listed on a proposal do not need to register for AbSciCon24 if they will not attend the meeting.

There is no fee to submit a session or town hall proposal.

All first authors who submit an abstract to a session are subject to the abstract submission fee. Presenting authors and session moderators must pay the meeting registration fee.

 

Session formats will include oral, eLightning and posters.

Registration

The online registration tool will open in early January 2024. Attendees can register throughout the duration of the conference.

Your registration fee includes access to the virtual event platform, all in-person and online sessions, electronic posters, the in-person exhibition, plenary lectures, networking, education and career development opportunities.

All attendees, including presenters and chairs, must register for #AbSciCon24 to gain access to the virtual platform.

Your registration fee includes access to the virtual event platform, real time access to online discussion sessions, plenaries, and hybrid oral sessions, access to recorded oral sessions, and access to the online poster gallery.

Reduced registration rates are extended to all meeting attendees who register for the meeting prior to the early bird deadline of 3 April 2024. Payment must be received by the noted deadline to receive the early bird rate.

Written requests must be emailed to the AbSciCon Registration Center. Registration cancellations received by 3 April 2024 will receive a complete refund. Cancellations received between 4 and 10 April 2024 will have a $50 USD processing fee deducted from their refund. No refunds will be issued for cancelled registrations or ticketed events after 10 April 2024.

AbSciCon will accept credit card, check and wire transfer payments. All check and wire transfer payments must be received by 5 April 2024.

AbSciCon does not accept purchase orders for registration payment.

A letter of invitation can be obtained by emailing the Scientific Program Team.

A letter of attendance can be obtained by emailing the AbSciCon Meetings Team.

Tickets will be available for purchase in the online registration portal in January. Tickets for special events must be purchased online by 3 April 2024.

Registered attendees may purchase guest passes at $100 USD each. A guest is a spouse, friend, or adult child (18 years and older) who is not working in an astrobiology science-related occupation or field. A colleague or associate working in a related scientific field or studying astrobiology in school may not be registered and attend as a guest.

Registered guests may not attend the oral or poster scientific sessions; however, they may visit the Exhibit Hall, attend the Opening Reception and all keynote lectures. Guests may also purchase tickets to social events at the advertised rates.

Housing & Travel

Housing information will open for booking in late October and will close 10 April 2024. AbSciCon has partnered with five hotels to offer discounts to AbSciCon attendees.

AbSciCon hotels will not charge your credit card, but you will be required to provide a credit card to guarantee your reservation. The credit card provided at the time of booking will only be charged by the hotel if you cancel within 72 hours of arrival or do not arrive on your scheduled date.

Yes. Hotels will automatically email a confirmation once your reservation has been made.

There is a 72-hour cancellation notice required to avoid a penalty. If your reservation is cancelled less than 72 hours prior to your arrival, you will incur a one-night room and tax penalty from your hotel.

The Rhode Island T.F. Green International Airport (PVD) is the closest airport to Providence and the Rhode Island Convention Center. It is approximately 10 minutes from downtown Providence. PVD was named the “4th Best Airport in United States” in Condé Nast Travelers 2022 Readers’ Choice Awards. PVD provides service to 10 airlines, national and international, and over 100 nonstop daily flights.

Providence weather in May is cool so attendees are advised pack layers including a light jacket. It can’t hurt to include an umbrella. Average maximum temperatures in May range from 70°F/21°C to 51°F/11°C. The average rainfall is 10”/25.4 cm.
