All attendees, including presenters and conveners, must register and wear their badge while attending Fall Meeting functions. Student attendees should consider participating in the Student Volunteer Program while also earning free student registration for at least eight hours of volunteer time.

AGU welcomes those who assist others in need during the Fall Meeting. Caretakers are individuals who are at the meeting to assist with child care or those with ADA needs and may register for free onsite at Moscone West; valid identification is required.

Attendee information and policies

Read through our information and policies related to attending Fall Meeting 2019, including bringing guests, accessibility, child care, and refund questions. We also encourage you to visit our frequently asked questions for more information.

In addition to personal actions, AGU believes workplaces and meetings should be included when reducing one’s environmental footprint. That’s why AGU has taken a leadership role with our net zero energy renovation of our HQs in DC. AGU also provides a variety of eco-friendly options for attendees.

Individuals who currently reside in developing countries are eligible to attend at a discounted rate. Countries are defined by the World Bank as low income (Tier 1) or low-middle income (Tier 2) are eligible for discounted rates. Countries defined for 2019 will be updated by the World Bank in July.

If you have not yet received government approval to travel to AGU Fall Meeting, please read the following for U.S. federal government employees only:

  • Important: if you are not able to attend and do not want to withdraw your presentation, please encourage a co-author to present on your behalf. Presenters changes can be submitted to the scientific program team. 
  • Pre-registration rates will be extended throughout the Fall Meeting.

Subsidized child care will be available for attendees. Register now for child care at Camp AGU at Fall Meeting 2019.

AGU welcomes those who assist others in need during the Fall Meeting. Caretakers are individuals who are at the meeting to assist with child care or those with ADA needs. Individuals may register for free at Moscone West; valid identification is required.

Registered attendees may purchase guest passes at $160 USD each. A guest is a spouse, friend, or adult child (18 years and older) who is not working in an Earth and space science-related occupation or field. A colleague or associate working in a related scientific field or studying Earth and space science in school may not be registered and attend as a guest. Registered guests may not attend the oral or poster scientific sessions; however, they may visit the Exhibit Hall, and attend the Ice Breaker, Honors Ceremony, and all keynote lectures. Guests may also purchase tickets to social events at the advertised rates.

AGU welcomes those who assist others in need during the Fall Meeting. If you require a caretaker to assist with child care or ADA needs, please see the Caretakers dropdown for more information. Caretakers may register for free onsite.

Written notification must be emailed to us. Registration cancellations received by 7 November 2019 will receive a complete refund. Cancellations received between 8 and 15 November 2019 will have a $50 USD processing fee deducted from their refund. No refunds will be issued for cancelled registrations or ticketed events after 15 November 2019. Refund exception requests must be requested within 30 days after the closing of Fall Meeting; refunds requested after this are ineligible for a refund, but a credit may be requested and reviewed for approval.

Substitutions are allowed at any time, but must be requested in writing by the original registrant and emailed to us. Partial substitutions are not allowed. Registrants must transfer their full registration to a new person. Member rates and promotional rates are not transferable from the original registrant to the substitute. No refunds will be issued for cancelled registrations or ticketed events after 15 November 2019.

Ticketed events

AGU Fall Meeting attendees may register for tickets for field trips, honors events, section events, and workshops. Additional registration fees may apply, with separate rates for students. Registration for these events will open at a later date, however, tickets must be purchased online by 7 November.

Getting to San Francisco

As a major metropolitan area there are many options for traveling to San Francisco for Fall Meeting. San Francisco is served by two major airports which offer multiple U.S. and international flights daily, a train station, and the Bay Area Rapid Transit (BART) public transportation system. Explore different travel options and directions for getting to the meeting.

Oakland International Airport (OAK) is 20 miles from downtown San Francisco and the Moscone Convention Center. OAK has service from 13 different airlines combined for 30 nonstop flights nationally and internationally.

San Francisco International Airport (SFO) is the closest airport to San Francisco and the Moscone Convention Center. It is one of the 30 busiest airports in the country, with service from more than 45 airlines, national and international, and nonstop connections to more than 65 U.S. cities. 

If you’d rather travel to San Francisco on the ground, try taking the Amtrak train to Jack London Square in Oakland with a bus transfer to San Francisco.

Traveling by bus to and from San Francisco is easy with an array of options, including Megabus and Greyhound.

If you plan to drive to San Francisco with your own vehicle, the Moscone Center provides information on a number of nearby parking garages. Consider using Parking Panda, SpotHero, and ParkWhiz are parking reservation services to help you find a parking spot.

Travel discounts

United

AGU has again teamed up with United Airlines to offer you discounts on air travel to Fall Meeting. Discounts are applicable from 6 December through 16 December 2019. Visit the United website and enter ZH2X812752 in the Offer Code box and click on the yellow arrow button to view discounted fares. 

Bay Area Rapid Transit (BART)

AGU has partnered with BART for 10 years to support our sustainability efforts in San Francisco. Taking BART’s all-electric rail trains from SFO or OAK airports keeps 20.2 lbs of carbon per round trip out of the air. BART is the fast, easy, low-cost way to get to downtown San Francisco in 30 minutes. Purchase a round trip $21 BART ticket voucher online and avoid lines to buy tickets at the SFO BART station. Super Shuttle

Visa and international travel information

We recommend that international participants apply for visas three months prior to the meeting. Some consulates may have delays in scheduling visa interviews. We encourage you to first contact the consulate to determine the wait time for an interview. If you require a letter of invitation before submitting an abstract, you must request one via email. After submitting an abstract, you can automatically generate a letter of invitation through the abstract submission system.

U.S. Government requirement for Visa Waiver Program

Effective 20 January 2011, citizens of Visa Waiver Program (VWP) countries will be unable to enter the United States without Electronic System for Travel Authorization (ESTA) approval from the U.S. Government. VWP travelers who have not obtained approval through ESTA will be denied boarding on any air carrier destined for the United States.

AGU does not sell your information. If you are contacted by any company other than SPARGO offering housing in San Francisco, please note that these companies are not authorized to represent AGU. They do not have access to officially contracted AGU Fall Meeting 2019 room blocks or rates.

In the past, unauthorized housing companies have also been calling members to book housing for the Fall Meeting 2019. AGU and its authorized vendors DO NOT call members to sell hotel rooms.

We encourage you to book through SPARGO, our official housing vendor, and report any unauthorized companies by emailing the AGU Housing Center.

Arts and culture

Pack your walking shoes and be prepared to make memories in San Francisco with your colleagues and family. The city offers a variety of arts and culture whether you’re interested in museums or other attractions. Visit the San Francisco Museum of Modern Art (SFMOMA). As one of the largest U.S.  museums of modern and contemporary art, SFMOMA hosts art by Frida Kahlo, Gerhard Richter, Andy Warhol, and Julie Mehretu. The International Art Museum of America, located just minutes from the Moscone Center, hosts a diverse collection from ancient Chinese calligraphy and Impressionist European paintings to contemporary sculptures and paintings.

Or, try something different and ride a vintage streetcar through the city. You can visit the San Francisco Railway Museum for an intimate look into the city’s rail transit history and to see first-hand the  positive impacts streetcars and cable cars have made.

Sustainability at the Moscone Center

Sustainable Meetings: AGU will continue to promote additional practices to reduce the environmental impact of its Fall Meeting and all other meetings, including providing the programming schedule via app; reducing paper, using compostable cups and serveware, vegetable-based containers for all foodstuffs; deploying the most sustainable choices for carpet and other building supplies on-site; and encouraging attendees and staff to use public transportation or walk to events.

The Moscone Convention Center in San Francisco is a sustainability leader, from measuring tons recycled to composting to providing locally-sourced food. Additional information about its practices are available on its website.

More broadly, rotating the Fall Meeting across the U.S. has allowed broader local and regional participation than before, expanding overall participation and reducing overall travel and air travel.

Accounting: We do not have a carbon estimate for 2018, but we are working on one for 2019, which will include our hotels (via HCMI calculation), Moscone Convention Center and Scope 1 and 2 data.

ACCENT on Children’s Arrangements, Inc. provides professional child care at the meeting. Fees are $12 per hour per child for children ages 3 months to 35 months and $10 per hour per child for children 3 years to 12 years with discounted service provided for half and full-day care. Children must be registered for a minimum of four (4) consecutive hours per child per day. There are also discounted Half-Day and Full-Day rates. A Mothers’ Room is also available as are two nursing pods (Mamava).  The Mamava code for the week is 8008. Child care services are a contractual agreement between each individual and the child care company. AGU assumes no responsibility for the services rendered.

Lost and Found

Lost and Found will be Moscone West, Level 1, Registration Hall. At the end of each day, articles will be brought to the Registration Services Desk in Moscone West. Unclaimed items will be catalogued and left with Moscone’s in-house security team at the conclusion of the meeting. Post-meeting inquiries will be fielded by AGU’s meetings team. Any items remaining on/after January 13, 2020 will be donated to local charities. Detailed information on hours and location can be found under General Information Desk.

AGU has teamed with Copy Central to print posters for pickup at the Moscone Center. Attendees who submitted and paid via the Copy Central site may pick up their posters at the Poster Printing Services counter in the Lobby of Moscone South. Copy Central can also assist with on-site printing needs, given 48 hours’ notice. Orders placed with less notice will incur an additional expedited service fee.

Registration Services

 

Guests

Registered attendees may purchase guest passes at $160 USD each. A guest is a spouse, friend, or adult child (18 years and older) who is not working in an Earth and space science-related occupation or field. A colleague or associate working in a related scientific field or studying Earth and space science in school may not be registered and attend as a guest. Registered guests may not attend the oral or poster scientific sessions; however, they may visit the Exhibit Hall, and attend the Ice Breaker, Honors Ceremony, and all keynote lectures. Guests may also purchase tickets to social events at the advertised rates.

Caretakers & ADA

AGU welcomes those who assist others in need during the Fall Meeting. Caretakers are individuals who are at the meeting to assist with childcare or those with ADA needs. Individuals may register for free at Moscone West; valid identification is required.
