Oral Session Chair Guidelines Before the Meeting

EMPTY ORAL PRESENTATION SLOTS

Please note that following the oral presentation upload deadline, the Scientific Program Team can no longer process transfers of poster presenters into oral session slots. If there is a withdrawn abstract in your oral session, please send an email to the Scientific Program Team with your session number so that the time can be reallocated within the session (e.g. for additional discussion). 

Note: New abstracts CANNOT be added to fill empty slots in an oral, eLightning or poster session.

BEST PRACTICES & ORAL SESSION CHAIR TRAINING

Whether this is your first time chairing an AGU Fall Meeting oral session or you are an experienced Fall Meeting oral session chair, you are encouraged to attend the live session chair trainings or to view the trainings online prior to the start of the meeting.

Prior to the live oral session:

  • Review the Session Chair Checklist with tips and guidelines for facilitating the best session.
  • Check the online program for any changes or updates.
  • All Session chairs should review the Meetings Code of Conduct and the Best Practices for Inclusive Remote Meetings guidance on potential issues you may face as a convener or session chair.

  • Familiarize yourself with the pronunciation of presenter names and affiliations.
  • Reach out in advance to the presenting authors in your session and review how the session will run and discuss in advance a general discussion topic based on the presentations. This session format provides an opportunity to discuss or highlight some of the larger science questions around the presentations or explore future needs and challenges.

This training is led by the go-to communications expert Melissa Marshall, who has traveled the world to work with Fortune 100 corporations, global institutions, and the nation’s best research universities when leaders need to boost their skills in communicating their world-changing research.

Participants will learn the following:
a. How to introduce a session and set expectations
b. How to create connection between topics and tell a story across a session
c. How to keep a session running smoothly and on topic (strategies for dealing with difficult questioners)

REVIEW ORAL PRESENTATIONS

 

Pre-Recorded Content for Oral Presenters

Session chairs, thank you for all that you’ve done to plan, collaborate, and share your science in this global event. As a chair the responsibilities are greater in a virtual platform, please review the information below to ensure that you have all you need to deliver your session at the Fall Meeting. 

  1. Session chairs can now review each pre-recorded presentation directly in the online program. Please note: you must be registered to view all meeting content. If there is a pre-recorded presentation missing, the author may not have uploaded the file or there may be technical issues with the file.
  2. Presenting authors will also prepare up to three slides, in PDF format, that provide an introduction and summary of their pre-recorded presentation. Presenters will upload these overview slides via the Participant’s Corner. by 4 December. 

    Oral session chairs are able to view the list of presenters and their contact information in their sessions via the User PortalTo view and download and the presenters overview slides, click on “My Account”, session title, then select “View Abstracts (Excel)”. You will be able to download the files directly from the Excel report from the links in the column next to the abstract text.

     

  3. Session chairs will then collate the individual presentations into one final PDF file and upload this file to the Participant’s Corner at least 24 hours before the session. Session chairs will display this file during the live overview/Q&A session.

    You may utilize the title slide templates here. After you have all the overview slides, collate the final deck for the live session, and upload your final deck here via the Participant's Corner via the User Portal
